How to manage your ReelFlow subscription plan, payment cards and understand your limits against your usage.
Managing your Organization
The Organization Management Console is where you can view your plan details, monitor usage across your Organization, and manage billing and subscription settings.
To access it:
- Log in to the Dashboard
- Go to ↗️ Settings > Organization
- Select the Manage Plan, Billing, Payments & Usage button
All users in your Organization can access the Organization Management Console.
The Organization Management Console contains two tabs: Plans & Billing and Usage. What you see in each tab depends on your plan and billing arrangement with ReelFlow.
Understanding your ReelFlow Usage
The Usage tab in the Organization Management Console shows your current usage across the key limits of your plan.
The limits shown in the Usage tab may include:
- Total Video Impressions — the number of times a video in any of your Flows has been displayed and played on your website in the current month. This resets to zero on the first of each month.
- Published/Active Flows — the number of Flows currently published and live on your website.
- Videos in Library — the number of videos currently stored in your Workspace Library.
- Storage — the total storage used by videos in your Library.
What happens when you approach or reach a limit
ReelFlow will warn you as you get close to your plan limits, and take action if they are exceeded.
Total Video Impressions work like this:
- At 90% of your monthly limit, the Usage tab will show an "Approaching limit" warning.
- If you exceed your limit, your Flows will be automatically paused until the monthly limit resets. A red banner will appear in your Dashboard, and we'll also send you an email notification. Your Flows will resume automatically when usage resets at the start of the next month, or you can opt to upgrade to a plan with greater allowances.
Published Flows work differently:
- When you attempt to publish a Flow beyond your limit, a message will appear letting you know you can to unpublish an existing Flow or upgrade your plan.
Library limits (videos and storage):
- If you reach your video count or storage limit, the upload button will be disabled. You'll need to remove existing videos or upgrade to increase your limits.
Your plan limits
The default limits for each plan are set when your subscription starts. The specific values for your plan are shown in the Plans & Billing tab of the Organization Management Console.
If you need to increase any of these limits, contact us or upgrade your plan from within Settings.
Manage your Plan & Billing
The Plans & Billing tab in the Organization Management Console, found within Settings, shows your current plan name and description, along with the limits associated with it.
You will see details of your current plan if you are on a subscription, or options to help you start a new subscription.
If you pay for your subscription with a payment card, you can manage this by choosing the Manage Billing & Payment Method button.

Accessing invoices
If you pay for a subscription with a payment card, you can access your invoices and manage your card by choosing the Manage Billing & Payment Method button from the Plan Billing & Payment tab in the Organization Management Console.
You will be able to download invoices from here.
If you do not pay by card or have a nominated ReelFlow customer success manager, you may not have access to this facility, so please contact our team.

Updating your billing details
If you pay for a subscription with a payment card, you can manage this by choosing the Manage Billing & Payment Method button from the Plan Billing & Payment tab in the Organization Management Console.
If you do not pay by card or have a nominated ReelFlow customer success manager, you may not have access to this facility, so please contact our team.

Cancelling your subscription
If you pay for a subscription with a payment card, you can manage this by choosing the Manage Billing & Payment Method button from the Plan Billing & Payment tab in the Organization Management Console.
If you do not pay by card or have a nominated ReelFlow customer success manager, you will need to contact our team.

Upgrading or changing your plan

What happens if a payment fails or becomes overdue
If you pay for a subscription with a payment card, we will attempt to take payment a number of times. If we cannot successfully charge your card, we will notify you by email. If after two weeks we are unable to take payment we will cancel the subscription - although you'll still be able to log in to the Dashboard, view and edit your content, and upload new videos, and you can restart your subscription at any time to restore your published Flows.

What happens to your Flows when a subscription ends
If your subscription is cancelled or expires, your published Flows will be automatically paused - they'll no longer appear on your website until the subscription is renewed or a new plan is started. You'll still be able to log in to the Dashboard, view and edit your content, and upload new videos.
